When does a company need legalisation?
A company typically needs legalised documents in three situations: export and trade relationships (contracts, certificates of origin), setting up a foreign entity (trade register extract, board decisions) and work permits for staff (degree and employment certificates).
In these situations a foreign authority, bank or partner requires certainty that the Finnish document is authentic and valid. Legalisation provides that certainty.
Apostille or full legalisation for company documents?
The same rule applies as for individuals: the destination decides. An apostille is enough for Hague Convention countries, but the UAE, Kuwait and Qatar, for example, require full consular legalisation. Saudi Arabia moved to the apostille in December 2022.
With company documents a mistake is especially costly, because it can delay a deal, a work permit or an entire project. Country-specific accuracy is essential here.
How we handle it for your company
We compile the required documents, handle the whole chain (DVV/notary → Ministry for Foreign Affairs → embassy → destination country's MFA) and keep you informed. For recurring needs we build a smooth process so HR and export teams don't have to deal with several authorities.
We invoice companies (e-invoice). 24 years of experience means we know each country's requirements, that saves time and avoids rejections.
